Are you interested in organising your own PsyPAG workshop?
If you are interested in organising a workshop, first of all contact the Committee Member who best represents your geographical or subject area.
Workshop Approval Process
As well as providing valuable professional development for attendees, organising workshops for other post-graduate students is a valuable addition to your CV. PsyPAG can offer funding for workshops up to a maximum of £1000 per workshop and four rounds of applications every year. These guidelines include information both for the workshop proposal, and the associated budget.
Funding is open to any post-graduate student in the UK. Applicants must be nominated by the PsyPAG Committee member most relevant to the workshop. Committee members and their positions can be found on the committee members page.
Please submit the completed application form and Excel budget spreadsheet electronically to the PsyPAG Treasurer (on treasurer@psypag.co.uk). Proposals are checked for completeness by the Treasurer then passed to the PsyPAG Committee for consideration, and decisions are made in four rounds each year. The closing dates for the four rounds are;
1st February
1st May
1st August
1st November
Application Guidelines
The following broad approach should be taken with your application. Please see below for specific points.
Post-graduate Focus
A PsyPAG workshop should be aimed specifically at post-graduates and aim to benefit a significant number of students. Usually, this will include having some post-graduate speakers and poster presentations at the event. A relevant member of the PsyPAG Committee should be included in the planning stage as a joint organiser, and agree to support your proposal prior to submission.
Content and Structure of Workshop
Workshops should have a clear purpose and focus. Please include in your application details of the: title and objectives; themes and intended content; and provisional speakers.
Publicity
Please include details of how the event will be publicised effectively to post-graduates.
Registration
Access to the PsyPAG website for on-line registration is available free of charge. Please consult with the PsyPAG Communication Officer in advance of submitting your application to ensure realistic timescales for design and build are quoted in the application.
Funding Partners
It is rare for PsyPAG to wholly fund a workshop as only £1000 is available per event. Please indicate the proportion of the cost PsyPAG is being asked to fund and where else funding is being sought.
Timescales
PsyPAG does not contribute to the planning process of designing or running of workshops. However based on our experience to date the planning process including funding submission, can take up to a year and this should be taken into account.
Specific application guidelines.
- Please be explicit when describing the title and objectives of the workshop.
- Ensure your submission is structured, clear and coherent.
- Which Committee member is endorsing this proposal?
- When and where is the workshop planned to take place?
- Make clear what post-graduate students will gain from attending. Is it of interest and relevant to a significant number of post-graduates?
- Indicate which speakers have been approached and the themes you intend to cover in the workshop. Are the speakers confirmed subject to funding?
- Please indicate in your submission how this event will be publicised.
- Funding is offered either jointly with other bodies, or as the sole funding source; however applicants should be aware that in order to maximise value to our members, we prefer to fund part rather than all of any workshop.
- Please indicate the proportion of the total cost that PsyPAG is being asked to fund, and where else funding has been sought. Is the cost justified (see below for budget guidelines)?
- Access to the PsyPAG website for on-line registration is available free of charge. Time for design and build should be negotiated in advance of applying with the PsyPAG Information Officers to ensure realistic timescales are quoted in the application.
- Where additional services are required that impact the capacity of our website such as podcasts, the Communication Officer reserves the right to pass on any charges incurred by PsyPAG in providing these services to the workshop organisers.
Budget guidelines.
The attached budget template (Excel document) is to be used as a guide only; please read the guidelines below for what could be included, but note that each event is unique and will have additional items. Remember to include all your costs and any expected income. This is key to your proposal. An incomplete budget submission will cause your application to be rejected so ensure you have thought through all the potential costs prior to submission.
- Include VAT where applicable. PsyPAG cannot claim VAT nor is it exempt, so please ensure all figures that attract tax are VAT inclusive.
- Include a unit price as well as a total cost per item – that way you can adjust your budget as participant numbers increase or decrease.
- When developing your budget, the following should be borne in mind:
- How many people is the workshop aimed at?
- Is registration free or is a token fee being requested?
- Are you providing catering, or asking people to contribute?
- Are speakers being paid expenses, and to what limit?
- Room costs? IT expenditure?
- Are you giving people anything to take away with them, e.g. handouts, and how are these funded?
- Is there any other assistance expected e.g. from your university department, BPS Division or Section?
- Are there any other costs to be included?
- Is there any other info you can give us that would be useful?
Once you have consulted your PsyPAG representative, you can complete the form here and will need to upload your completed expenditure spreadsheet (a blank copy of which can be found here).
